The role

Neon Link places facility administrators with US self-storage operators, from single facilities to small portfolios, including sites run with no one in the office. You'll answer rental and tenant calls during your shift, take reservations and rentals by phone and online, and complete move-ins. You'll work the past-due list every day by phone, email and text, prepare lien notices on the timeline the owner sets for their state, keep every unit's lien file complete, clean up tenant ledgers with the owner's approval and draft replies to online reviews, all inside the facility's management software, such as SiteLink, storEDGE or Easy Storage Solutions.

This is remote office work: you won't overlock units yourself, handle cleanouts or run auctions, and you never give legal advice on lien law, because the timeline comes from the owner or their attorney.

It matters because the past-due list and the lien file are where a storage business either collects its rent or loses it, and a caller who reaches voicemail usually rents from the next facility on the map. You'll handle tenant personal information and card payments under the client's card data rules, and every lien step follows the state's self-storage lien law as the owner or their attorney applies it, including the active duty military check federal law calls for before a sale, so we look for people who are careful by habit. People do well here when they follow a timeline to the day, turn a price shopper into a rental on the first call, stay calm and firm with a tenant who is behind, and log every contact.

Day to day you'll take direction from the client's owner, district manager or facility manager, as part of their team, with Neon Link behind you. Before your first live call you're trained on the client's management software, rental and past-due scripts, state lien timeline and escalation path.

What you'll do

  • Answer the facility's rental and tenant lines live during your shift, including overflow when the on-site manager is busy, quote unit sizes, rates, specials and tenant protection, and pass gate, access and maintenance problems to the on-site manager or the vendor the owner names
  • Turn calls, web leads, voicemails and SpareFoot or other marketplace reservations into rentals, and follow up on open reservations before they expire so a renter doesn't wait until tomorrow
  • Complete move-ins for phone and online rentals: confirm the e-signed lease and ID, set up the tenant and unit in SiteLink, storEDGE or the client's system, take the first payment, offer autopay, issue the gate access code, and send the welcome details the owner has approved
  • Work the past-due list every business day by phone, email and text, using the owner's script and only within the contact consent and calling hours the owner allows, take payments, log every promise to pay, and bring any request for a fee waiver, partial payment or payment plan to the owner
  • Flag accounts as they reach each step of the owner's lien timeline, set gate lockout and request overlocks on the dates it sets, and prepare and send pre-lien and lien notices by the delivery method the state requires, such as certified mail, tracking each one by date and delivery
  • Keep each unit's lien file complete: notices, mailing receipts, contact attempts to the tenant and alternate contact, the SCRA active duty check and the ledger, so a unit that reaches sale has every record behind it
  • Clean up tenant ledgers: find misapplied payments, duplicate late fees, unapplied credits and rate changes posted on the wrong date, and fix them only with the owner's approval; send existing tenant rate increase notices on the notice period the owner sets
  • Draft replies to Google and other online reviews for the owner's approval, send review requests to new tenants without offering anything in return, and pass any complaint in a review to the owner with the account history
  • Process move-outs and unit transfers, and keep tenant contact details, alternate contacts, tenant protection and lease paperwork current
  • Send the owner a short weekly summary of occupancy, rentals against move-outs, past-due balances, lien status and open questions, and keep checklists for move-ins, the past-due cycle and the lien timeline current
What success looks like
  • The past-due list worked on the schedule the owner sets, with every contact attempt and promise to pay logged
  • Every lien notice sent on the date the owner's timeline sets, with proof of how and when it went out in the unit file
  • Calls, web leads and voicemails answered or returned on the response times the owner sets, and judged by rentals made, not calls taken
  • A weekly summary the owner can read at a glance without asking follow-up questions

What you bring

  • 2 or more years supporting a US business in self-storage, property management, leasing or collections, with regular phone work with US tenants or customers
  • General inbound call center work alone doesn't count for this role, and neither does cold calling or lead generation for US real estate investors
  • Hands-on with a self-storage management system such as SiteLink, storEDGE, Easy Storage Solutions or Yardi Breeze, or with a property management system such as AppFolio, Yardi Voyager or Buildium, and quick to learn a new one
  • Working knowledge of how US self-storage runs, or clear proof you'd learn it fast: unit sizes, rates and specials, tenant protection, late fees, autopay and gate access, and how a past-due account moves to pre-lien notice, lien notice and lien sale under state law
  • Calm, firm and polite on the phone and in writing with a tenant who is behind, comfortable asking for payment and following a script without sounding scripted
  • Organized with dates: a lien timeline only works if every step happens on the day it's due
  • Strong with Google Workspace or Microsoft 365, including spreadsheets
  • Careful with tenant information and card data: you take card payments only inside the client's system, you never write down a full card number, you don't move tenant lists, ledgers or lien files onto personal devices, and you'll sign a confidentiality agreement and pass a background check, including a current NBI clearance
  • Clear spoken English for rental and past-due calls with US tenants, and clear written English for texts, emails, review replies and account notes
  • Able to work US business hours, a night shift that starts between 8pm and 1am Philippine time depending on the client's US time zone and the time of year, including a US Saturday when the client needs it, and to hold that schedule long term
  • Education: any bachelor's degree preferred, not required; relevant experience matters more
Nice to have
  • Delinquency and lien work for a US self-storage operator, including online lien auctions on sites such as StorageTreasures, Lockerfox or Bid13
  • Time on a US self-storage call center or remote management team that answers for many facilities
  • Existing tenant rate increases in self-storage, or rent increase and renewal notices in US property management
  • Texting and shared inbox tools for tenant follow-up, and replying to Google reviews for a local business

Work setup

  • Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus a webcam and a noise canceling headset
  • Fiber internet of at least 25 Mbps with a mobile data or second provider backup
  • A UPS or generator so a brownout doesn't end your shift
  • A quiet, private workspace where tenant calls and card details can't be overheard or seen
  • Tell us your city and province when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once

You'll do well here if

Follows the timeline exactly
Firm, polite with late tenants
Turns callers into rentals
Logs every contact
Careful with ledgers and cards
Honest about real status
