2. Information we collect
Information you give us. When you request a quote or rate card, ask a question, use our planning tool, book a call, apply for a job, or contact us, we collect what you provide, such as your name, email address, phone number, company, and what you tell us.
Information collected automatically. When you use our site or our emails, we and our analytics providers collect information such as your device and browser type, your IP address and the approximate location and organization associated with it, the pages you view and how you interact with them, the site or link that brought you here, and identifiers stored in your browser. Some of this is collected through cookies and similar technologies, including session recording. See our Cookie Policy.
Information from other sources. We collect business contact information, such as names, job titles, work email addresses and phone numbers, and company details, from publicly available business sources and business data providers, and when someone refers your business to us through our referral program.
Calls and meetings. We may record or transcribe calls and video meetings. Where the law requires it, we tell you at the start and ask for your consent.
3. How we use information
- To operate and improve our site, services and processes.
- To respond to you and provide what you ask for, such as quotes, answers and calls.
- To contact businesses about our services by email or phone.
- To recruit (section 9).
- To protect our site and our business, and to meet legal obligations.
We may combine information about your use of our site and our emails with information you give us or that we obtain from other sources, to understand interest in our services and to follow up with you or your organization.
4. Analytics, session recording and your choices
We use our own analytics, Google Analytics and Microsoft Clarity to understand and improve how our site is used. Our own analytics also helps us follow up with people who contact us or respond to our emails. Clarity provides session recording: it records how you interact with our pages, such as clicks, scrolling and mouse movement, with form entries hidden.
Depending on where you are, we may ask for your permission before using analytics or session recording, or we may use them unless you opt out. You can change your choice at any time using Cookie settings at the bottom of any page. If your browser sends a Global Privacy Control signal, we turn off analytics and session recording in that browser.
Do Not Track. There is no common standard for responding to browser Do Not Track signals, so we do not respond to them.
Tracking by other companies. Google and Microsoft may collect information about your activity on our site and on other websites over time through their cookies and similar technologies.
5. Google Analytics and Microsoft Clarity
Google Analytics. Google is an independent company and handles this data under the Google Privacy Policy. You can learn how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites.
Microsoft Clarity. Microsoft is an independent company, not our service provider. Microsoft and other third parties collect or receive personal data from you through cookies and similar technologies. Microsoft collects or receives personal data from you to provide and improve Clarity and its other products and to provide Microsoft Advertising, and may use it for its own purposes as described in the Microsoft Privacy Statement. Clarity sets Microsoft cookies, including one called MUID.
You can turn Google Analytics and Clarity off at any time in Cookie settings.
6. How we share information
- Service providers that host, store and process data for us and help us run our business, such as hosting, security, analytics, email, scheduling, communication and collaboration tools, and AI services.
- Cloudflare, whose Turnstile security check protects our forms from bots. Cloudflare may also use security signals, such as your IP address and browser details, to improve its own bot detection, as described in the Cloudflare Privacy Policy.
- Google and Microsoft, as described in section 5.
- Client businesses considering a job applicant (section 9).
- Professional advisers, such as lawyers and accountants.
- Authorities, when the law requires it or to protect our rights or the safety of others.
- A buyer or successor, if our business is sold or reorganized.
Nevada. We do not sell covered information as Nevada law defines it. Nevada residents can still send an opt-out request to hello@neonlink.ai.
7. Where information is processed
We process information mainly in the United States. Our team and service providers may access information from other countries, including the Philippines and other countries where we work, under confidentiality obligations. Information processed in another country is subject to that country's laws and may be accessible to its courts, law enforcement and national security authorities.
8. How long we keep information, and security
We keep personal information only as long as we need it for the purposes in this policy, including to meet legal, tax and accounting requirements, and then delete it or de-identify it.
- Business contact, inquiry and booking information: while we have, or may have, a business relationship with you or your organization, and then as long as we need it for our records.
- Client records: for the length of our engagement, and afterwards as long as legal, tax and accounting rules require.
- Our own website analytics: about 14 months after collection.
- Requests not to be contacted: as long as needed to honor them.
- Job applications: see section 9.
Deleted information can remain in our backups for a limited time.
We use reasonable administrative, technical and physical safeguards to protect personal information. No website or system is completely secure.
9. Applicant Privacy Notice
This section applies to anyone who applies to work with Neon Link, joins our talent pool, or is considered for work with one of our clients, wherever you live. Neon Link LLC is responsible for your application information. Questions go to our Data Protection Officer (section 1).
What we collect. Your name, contact details, where you live, resume, work history, education, skills, answers to our questions, cover note, pay details you share, how you found us, and a short voice introduction, which every application needs and which we transcribe. We also keep notes and assessments from our review and interviews, recordings and transcripts of interviews you agree to record, references you name and, before any offer, the results of background or identity checks you agree to. Please do not send health information, government ID numbers, financial account details, or confidential information belonging to a current or former employer. Please also leave your age, date of birth, marital status, religion, photo and similar personal details off your resume; if you include them, we use them only to process your application.
How we use it. To review your application for this and future roles; to contact you and schedule interviews; to let members of our hiring team review interview recordings and transcripts; to check what you tell us and, before an offer, to run background or identity checks you agree to; to introduce you to client businesses that may engage you; to keep you in our talent pool unless you ask us not to; to improve our recruiting and services; to understand our market; and to meet legal obligations.
Automated review. Automated tools, including AI, help us review applications against the role's requirements. A person makes every hiring decision. You can ask us to review your application without these tools.
Our legal grounds. Where the law asks us to state them: steps you ask us to take before a possible engagement; our legitimate interests in recruiting and running a talent pool; your consent, which you give on the application form and can withdraw at any time (this may mean we can no longer consider you); and legal obligations. We ask for government IDs or police clearances only for a background check, with your separate consent.
Who we share it with. Our service providers, including AI services; client businesses considering you; background and identity check providers, only with your agreement; our professional advisers; authorities when the law requires; and a buyer or successor if our business is sold. We never sell applicant information.
Where it is processed. Mainly in the United States. Our team in the Philippines and other countries where we work may access it, and a client considering you may be in the United States or Canada.
How long we keep it. Up to two years after you apply, then we delete it, unless you ask us to delete it sooner or the law requires us to keep it longer. Deleted information can remain in our backups for a limited time. If we engage you, your application becomes part of your work records and we keep it as long as the law requires.
Your rights. You can ask to see, correct or delete your information, receive a copy, object to or limit how we use it (including keeping you in our talent pool), withdraw your consent, and ask for a person to review a decision. You can also complain to the National Privacy Commission in the Philippines or your local data protection authority, although we would like the chance to fix things first. Contact us at hello@neonlink.ai.
You must be at least 18 years old to apply.
10. Your choices and rights
- Emails and calls. You can ask us to stop contacting you at any time by using the unsubscribe link in any of our marketing emails or by contacting us. We keep a record of your request so we do not contact you again.
- Analytics. Use Cookie settings at the bottom of any page, or turn on Global Privacy Control in your browser.
- Your information. You can ask to access, correct or delete the personal information we hold about you by emailing hello@neonlink.ai or writing to us. We may need to confirm your identity first. We respond within the time the law requires.
Information that Google and Microsoft collect through their tools is also subject to their own policies, and we may keep information the law requires us to keep. We will not treat you differently for making a request.
Philippines. If you are in the Philippines, we rely on our legitimate interests to run analytics and session recording on our site (you can object at any time in Cookie settings), and you can complain to the National Privacy Commission.
11. Children
Our site is intended for businesses and adults. We do not knowingly collect personal information from children under 16.
12. Changes to this policy
We will post any changes on this page with a new effective date. If we make material changes, we will also post a notice on our site.
