The role
Neon Link places experienced US dental billers with dental billing companies and multi-location dental groups whose billing platforms post routine insurance payments on their own and send everything else to an exception queue. That queue is your desk. You'll post the EOBs and ERAs that didn't match, split bulk checks and virtual card payments to the right claims, apply adjustments and write-offs against the practice's fee schedules, work denials and rejections until they're paid or closed for a documented reason, and follow up on aging insurance claims by payer portal and phone during US payer hours.
You'll work in dental practice management systems such as Open Dental, Dentrix and Eaglesoft, a dental clearinghouse and the payer portals.
It matters because every exception is money a practice has already earned and hasn't collected, and a wrong adjustment hides a balance nobody will ever chase.
Every placement handles patient health information under HIPAA rules and a signed BAA, the business associate agreement US healthcare privacy law requires, so we look for people who are careful by habit, not only when someone is watching. People do well here when they read an EOB line by line, can tell a downgrade from a denial at a glance, and write notes the next person can act on. Day to day you'll take direction from the client's billing or queue lead, as part of their team, with Neon Link behind you. Before your first live claim you're trained on the client's platform, adjustment rules and escalation path.
What you'll do
- Post insurance payments from EOBs and ERAs that didn't match on their own, including bulk checks, EFTs and virtual card payments, to the right patient and claim, and reconcile each remit to its deposit
- Apply contractual adjustments, write-offs and downgrades on the patient ledger against the practice's PPO fee schedules and adjustment codes, and flag anything outside the client's rules for approval before you post it
- Work clearinghouse rejections and payer denials: read the CARC and RARC codes, fix what can be fixed, such as the CDT code, tooth and surface, narrative, x-ray or perio attachment sent through NEA FastAttach or the clearinghouse, or coordination of benefits, and resubmit
- Prepare corrected claims and appeals from the provider's documentation, and track each one to a decision
- Work the insurance aging report by its 30, 60 and 90 plus day buckets, oldest and largest balances first, by payer portal and phone during US payer hours, catch every claim before its timely filing limit, and log every touch with a reference number, rep name, date and next step
- Bill secondary insurance with the primary's EOB attached, and sort out coordination of benefits when two plans each say the other one pays first
- Spot underpayments against the fee schedule and repeat denials from the same payer, flag insurance overpayments and credit balances for refund review, and raise patterns with the queue lead before they turn into a backlog
- Escalate exceptions that need a practice decision with the facts already gathered: the claim, the payer, the call reference, what you tried and what you need
- Send the queue lead a short end of shift note on what you closed, what's waiting on a payer and what's waiting on the practice
- Exceptions closed right the first time, confirmed by the client's quality review
- Nothing in your queue aging past the client's targets without a documented reason and a next step
- Denials resubmitted or appealed promptly, and judged by claims paid, not claims touched
- Every payer call and portal check written up well enough that anyone on the team can pick up the claim
What you bring
- 2 or more years in US dental billing that included EOB and ERA payment posting, denials and insurance AR follow-up
- Medical billing alone doesn't count for this role, and neither does experience limited to insurance verification or front desk work
- Hands-on with at least one dental practice management system, ideally Open Dental, Dentrix or Eaglesoft; Dentrix Ascend, Curve, Denticon, Oryx or CareStack also count
- Experience submitting and working claims through a dental clearinghouse, for example DentalXChange, Vyne Trellis or Tesia
- Working knowledge of CDT codes, the ADA claim form, tooth and surface, narratives and attachments, and how US dental plans handle frequencies, downgrades, alternate benefits, missing tooth clauses, waiting periods, predeterminations, UCR, PPO and DHMO plans, timely filing limits and coordination of benefits
- Comfortable in the major dental payer portals and on the phone with payer reps, for example Delta Dental, MetLife, Cigna, Guardian, Aetna and UnitedHealthcare
- Careful with patient health information: you understand the HIPAA minimum necessary rule, you don't move EOBs, x-rays or patient lists onto personal devices, and you'll sign a confidentiality agreement and pass a background check, including a current NBI clearance
- Clear spoken English for calls with US payer reps, and clear written English for appeals, narratives and notes in the patient record
- Able to work US business hours, a night shift that starts between 8pm and 1am Philippine time depending on the client's US time zone and the time of year, and to hold that schedule long term
- Education: any bachelor's degree preferred, not required; relevant experience matters more
- Time at a dental billing company or a DSO back office that bills for many practices at once
- Medicaid dental programs, orthodontic billing, or oral surgery claims that cross over to medical insurance
- Experience working alongside billing automation, clearing the claims it flags
- Excel or Google Sheets past the basics, including a readable insurance aging report
Work setup
- Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus two monitors, a webcam and a noise canceling headset
- Fiber internet of at least 25 Mbps with a mobile data or second provider backup
- A UPS or generator so a brownout doesn't end your shift
- A quiet, private workspace where patient information can't be seen or overheard
- Tell us your city and province when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once
You'll do well here if
