The role

Neon Link places experienced dental insurance verification specialists with US dental practices, multi-location dental groups and DSOs. You'll verify eligibility for upcoming patients and build the full plan breakdown in the practice software, from deductibles, maximums and coverage levels to frequencies, waiting periods, missing tooth clauses and procedure history, so the front desk can give each patient an honest estimate. You'll send predeterminations for larger treatment, submit clean claims with the x-rays, perio charts and narratives each payer asks for, fix clearinghouse rejections, and help the office with patient statements, plan questions and appointment confirmations.

You'll work in dental practice management systems such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon, plus payer portals, a dental clearinghouse and the office's patient messaging tools. This is the front end of the revenue cycle: once a payer has paid, denied or reduced a claim, the client's AR team takes over posting, denials, appeals and insurance aging, with your notes behind them.

It matters because a missed frequency or waiting period becomes a surprise bill for the patient and a write-off for the office, and a claim sent without the right attachment comes back unpaid and has to be worked twice.

Every placement handles patient health information under HIPAA rules and a signed BAA, the business associate agreement US healthcare privacy law requires, so we look for people who are careful by habit, not only when someone is watching. People do well here when they read the fine print on a plan, stay patient on hold with a payer, and write breakdown notes the front desk can quote from without calling back. Day to day you'll take direction from the client's office manager, insurance coordinator or billing lead, as part of their team, with Neon Link behind you. Before your first live verification you're trained on the client's practice software, breakdown template, lead times and escalation path.

What you'll do

  • Verify eligibility for every patient on the schedule, on the lead time the office sets, by payer portal, fax-back or phone, and for same-day additions and walk-ins in real time, logging the reference number, rep name, date and source
  • Build the full breakdown of benefits in the practice software: subscriber, plan type and network status, the fee schedule attached to the plan, deductibles and maximums with what's been used, coverage by category, waiting periods, age limits, missing tooth clauses, downgrades and alternate benefits, and which plan is primary when a patient has two
  • Pull procedure history and frequencies by CDT code, such as exams, cleanings, bitewings, full mouth x-rays, fluoride, sealants, scaling and root planing, perio maintenance and crown replacement, and update the treatment plan estimate so the front desk can quote the patient's portion
  • Flag problems before the visit, such as an inactive plan, a used-up maximum, a frequency limit, a waiting period or treatment that needs a predetermination, and reach the patient or the office in time to reschedule or talk it through
  • Send predeterminations for larger treatment such as crowns, implants, periodontal surgery and orthodontics, with the x-rays, perio charts and narrative the payer asks for, track each one to a decision, and record the payer's estimate where the office will see it
  • Create claims once the visit notes are complete, check the CDT code, tooth and surface, add the x-rays, perio charts or narrative through NEA FastAttach or the clearinghouse, submit them, fix rejections as they come back, and hand each claim to the client's AR team once the payer has paid, denied or reduced it
  • Send patient balance statements, answer patients' questions about their coverage, estimates and balances by phone, email and text in the office's voice, and offer only payment arrangements the office has approved
  • Support the front desk: confirm appointments, fill openings from the office's list, collect updated insurance cards, and keep patient contact and plan details current, including when an employer changes carriers
  • Send the office a short end of shift note: tomorrow's schedule verified, patients flagged and why, predeterminations pending, and claims sent with any rejections still open
What success looks like
  • Every patient on the schedule verified by the lead time the office sets, and same-day additions verified before they're seated
  • Breakdowns accurate enough that the estimate holds up when the EOB comes back, confirmed by the client's quality review
  • Claims accepted by the clearinghouse the first time, against rejection targets set with the client
  • No patient surprised at checkout by an inactive plan, a used-up maximum or a frequency limit you could have caught

What you bring

  • 2 or more years verifying US dental insurance, with full breakdowns and procedure history, for a US dental office, DSO or dental billing company
  • Medical insurance verification or prior authorization alone doesn't count for this role, and neither does health card verification for Philippine clinics or front desk work without hands-on breakdowns
  • Hands-on with at least one dental practice management system, such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon; Dentrix Ascend, Oryx or CareStack also count
  • Comfortable getting a breakdown from payer portals, fax-backs and phone reps, for example Delta Dental, MetLife, Cigna, Guardian, Aetna and UnitedHealthcare, and sending claims and attachments through a dental clearinghouse such as DentalXChange or Vyne Trellis
  • Working knowledge of CDT codes, the ADA claim form and how US dental plans work: PPO, DHMO and Medicaid plans, in and out of network fee schedules, frequencies, age limits, waiting periods, missing tooth clauses, downgrades and alternate benefits, orthodontic lifetime maximums and coordination of benefits with the birthday rule, and what each means for the patient's portion
  • Fast, accurate data entry, about 40 words a minute or better, because one wrong digit in a breakdown changes the estimate
  • Careful with patient health information: you understand the HIPAA minimum necessary rule, you don't copy insurance cards, x-rays or patient lists onto personal devices, and you'll sign a confidentiality agreement and pass a background check, including a current NBI clearance
  • Clear spoken English for calls with US payer reps and patients, and clear written English for breakdown notes, narratives and messages to the office
  • Able to work US business hours, a night shift that starts between 8pm and 1am Philippine time depending on the client's US time zone and the time of year, and to hold that schedule long term
  • Education: any bachelor's degree preferred, not required; relevant experience matters more
Nice to have
  • Time at a DSO or dental billing company that verifies for many offices at once, each with its own fee schedules
  • Specialty breakdowns such as orthodontics, periodontics, pediatric Medicaid, or oral surgery claims that cross over to medical insurance
  • Dentistry, dental hygiene or dental assisting coursework, which helps when reading x-rays, perio charts and treatment plans
  • Patient communication tools such as Weave, NexHealth, RevenueWell or Solutionreach
  • Excel or Google Sheets past the basics, for tracking predeterminations and the verification schedule

Work setup

  • Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus two monitors, a webcam and a noise canceling headset
  • Fiber internet of at least 25 Mbps with a mobile data or second provider backup
  • A UPS or generator so a brownout doesn't end your shift
  • A quiet, private workspace where patient information can't be seen or overheard
  • Tell us your city and province when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once

You'll do well here if

Reads the fine print
Catches problems before the visit
Patient on hold with payers
Writes notes others can trust
Discreet with patient information
Kind about patient balances

How hiring works

All online: your application with the voice introduction, a typing test, a hands-on verification test that turns a sample payer response into a full breakdown and a patient estimate, an interview that includes a mock call with a US payer rep, and a final interview with the client. We are hiring for this role now. We never charge a fee to apply, test, train or start.

What happens next: A person reads every application, and everyone who clears the first screen hears back, either way.
