The role

Neon Link places account coordinators with independent US property and casualty (P&C) agencies and with life and annuity wholesalers, the brokerage general agencies (BGAs) and independent marketing organizations (IMOs). On P&C work you'll handle policy changes and endorsements through carrier portals, certificates of insurance, renewals and quote entry in comparative raters for a licensed agent to review, all kept current in the agency management system (AMS), such as Applied Epic, AMS360, EZLynx or HawkSoft.

On life and annuity work you'll run new business case management, tracking each application through underwriting and chasing every outstanding requirement until the case is placed or closed, plus policy service, contracting and appointment paperwork. You don't need a US insurance license for this role, and you won't do the work that requires one: selling, quoting a price, binding coverage and giving coverage or product advice stay with the agency's licensed staff, and your job is everything around them.

It matters because a late certificate can hold up an insured's next job, a case stuck on one missing form doesn't get placed, and a renewal started late is an account the agency can lose. These files hold driver's license numbers, dates of birth, payment details and, on life cases, medical records, which US agencies must protect under the Gramm-Leach-Bliley Act and state insurance privacy rules, so we look for people who are careful with that data by habit.

People do well here when they check every document against the policy or the carrier's requirements, track each open item without reminders, and know where their work ends and a licensed agent's begins. Day to day you'll take direction from the client's agency owner, account manager or case manager lead, as part of their team, with Neon Link behind you. Before your first live request you're trained on the client's AMS or case management system, carrier portals, service workflows and which requests go straight to licensed staff.

What you'll do

  • Work the service inbox and phone requests: log each one as an activity in the AMS, such as Applied Epic, AMS360, EZLynx or HawkSoft, or in the agency's case management system, and close it with a note anyone can follow
  • Process P&C policy changes to drivers, vehicles, locations, addresses, mortgagees and lienholders through the carrier portal or underwriter, check the endorsement that comes back, and get a licensed person's sign-off first on anything that adds or changes coverage
  • Issue certificates of insurance (ACORD 25) and evidence of property insurance, check additional insured, waiver of subrogation and primary and noncontributory wording against the endorsements on file, route anything the policy doesn't support to a licensed account manager, and answer mortgagee and lender requests
  • Prepare P&C renewals ahead of the date: pull the expiration list, send renewal questionnaires, collect updated driver, vehicle and property schedules and payroll figures, order loss runs, and check the renewal against the expiring policy
  • Support quoting: complete ACORD applications, enter the details in comparative raters such as EZLynx and in carrier portals, and build a side by side comparison for a licensed agent to review and present
  • Work carrier downloads and notices, including IVANS downloads, pending cancellations for nonpayment, inspections and audit requests, reaching the insured and logging every touch
  • Run life and annuity new business case management: log each application, track it through underwriting in the carrier portal, and keep its status current
  • Chase outstanding requirements with producers, applicants and carriers, such as missing signatures and forms, paramedical exam scheduling, attending physician statements and records requests, until each case is placed or closed, then follow delivery requirements through
  • Process life and annuity policy service in carrier portals, such as address, payment and beneficiary changes, as licensed staff directs, plus producer contracting and appointment paperwork and checks of commission statements against placed cases
  • Send your lead a short end of shift note and a weekly summary of open cases, outstanding requirements and renewals coming due, and keep each carrier's requirements checklist current
What success looks like
  • Requests and cases done right the first time, confirmed by the client's quality review
  • Certificates and renewal files ready on the turnaround and dates the agency sets, every one matching the policy
  • Every open case carrying a documented follow-up on what's outstanding, on the cadence the agency sets
  • A weekly summary the owner can act on without asking follow-up questions

What you bring

  • 2 or more years supporting a US insurance agency, brokerage, BGA or IMO as an account coordinator, account manager assistant, case manager or insurance virtual assistant, in P&C service (certificates, endorsements, renewals) or life and annuity new business (applications, underwriting requirements, placement)
  • Work on a US carrier's claims, billing or sales phone lines alone doesn't count for this role, and neither does health or Medicare enrollment work, or insurance for the Philippine market
  • Hands-on with at least one agency management system, ideally Applied Epic, AMS360, EZLynx or HawkSoft (QQCatalyst or NowCerts also count), or for life and annuity, a case management or e-application tool such as SmartOffice, iPipeline or FireLight
  • Comfortable in comparative raters such as EZLynx Rating Engine or Applied Rater, in P&C and life carrier portals, and in Microsoft 365 or Google Workspace and Adobe Acrobat for ACORD forms
  • Working knowledge of P&C personal and commercial lines, declarations pages, endorsements, additional insureds, waivers of subrogation, loss runs and cancellations for nonpayment, or of how a life or annuity application moves through underwriting, what an APS and a paramedical exam are, and how contracting and appointments work
  • Clear on the line: you don't sell, quote a price, bind or give coverage or product advice, and you hand those questions to a licensed agent with the facts already gathered
  • Careful with policyholder information: you follow the client's data security rules, you don't move policy files, medical records, loss runs or payment details onto personal devices or personal email, and you'll sign a confidentiality agreement and pass a background check, including a current NBI clearance
  • Clear spoken English for calls with US policyholders, producers and carrier service centers, and clear written English for emails, carrier requests and file notes a producer can forward without editing
  • Able to work US business hours, a night shift that starts between 8pm and 1am Philippine time depending on the client's US time zone and the time of year, and to hold that schedule long term
  • Education: any bachelor's degree preferred, not required; relevant experience matters more
Nice to have
  • Both P&C and life and annuity work, or both personal and commercial lines
  • Policy checking, remarketing submissions or loss run requests for a commercial lines account manager
  • Producer contracting and appointment work for a BGA or IMO, including onboarding tools such as SuranceBay
  • CISR, LOMA or Insurance Institute coursework, such as AINS or CPCU
  • Excel or Google Sheets past the basics, including expiration lists, case pipelines and quote comparisons

Work setup

  • Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus two monitors, a webcam and a noise canceling headset
  • Fiber internet of at least 25 Mbps with a mobile data or second provider backup
  • A UPS or generator so a brownout doesn't end your shift
  • A quiet, private workspace where policyholder files and calls can't be seen or overheard
  • Tell us your city and province when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once

You'll do well here if

Tracks every open item
Knows the licensed line
Checks documents against the policy
Persistent, polite with carriers
Discreet with policyholder data
Calm at renewal time

How hiring works

We are hiring for this role now. We never charge a fee to apply, test, train or start.

What happens next: A person reads every application, and everyone who clears the first screen hears back, either way.

Tell us who you are and how you'd answer a policyholder who asks whether their policy covers something, when that answer has to come from a licensed agent.
