The role
Neon Link places experienced transaction coordinators with US real estate agents, teams and brokerages. You'll open each file when a contract is accepted, build the checklist and calendar every inspection, appraisal, financing, title and closing deadline. You'll send contracts, addenda and disclosures for signature in DocuSign or the brokerage's e-signature tool, chase every missing signature and initial, and keep the file complete in the brokerage's transaction platform, such as Dotloop, SkySlope, Paperless Pipeline or Open to Close, for the broker's compliance review.
You'll keep the lender, title or escrow and the other side's agent moving, and between closings you'll prep listing paperwork, keep the agent's CRM current in Follow Up Boss or a similar tool and schedule showings. This is support work for licensed agents: you won't solicit or advise clients, negotiate, explain contract terms, show property or handle earnest money or client funds, and anything that needs a US real estate license goes back to the agent or broker.
It matters because a missed contingency date can cost a buyer their deposit or a seller the sale, and an agent who trusts the file can spend the day with clients instead of chasing paperwork. Every file holds buyers' and sellers' IDs, loan documents and closing figures, and closings are a favorite target for wire fraud, so you'll handle that information by the brokerage's rules and never send or change wiring instructions. People do well here when they live by a calendar, follow up before anyone has to ask and keep a file anyone could pick up and audit. Day to day you'll take direction from the client's agent, team lead or transaction manager, as part of their team, with Neon Link behind you.
Before your first live file you're trained on the client's transaction platform, checklists, state forms and escalation path.
What you'll do
- Open each new file when a contract is accepted: set it up in Dotloop, SkySlope, Paperless Pipeline, Open to Close or the brokerage's system, build the checklist, and pull every party, date and contingency from the purchase contract, counteroffers and addenda onto the calendar
- Send the executed contract and an introduction email to the lender, the title or escrow officer and the other side's agent or coordinator, and confirm with title or escrow that the earnest money deposit arrived by its contract date (you track it; you never touch it)
- Track inspection, appraisal, financing, HOA document and title review deadlines and the closing date every day, warn the agent as soon as a date is at risk, not after it passes, and update the calendar the same day an amendment changes a date
- Send contracts, addenda, amendments and disclosures for signature in DocuSign, SkySlope Forms, Dotloop or the platform's own tool, fill in forms only from the agent's instructions, and chase every missing signature, initial and date until each document is complete
- Collect and track what the file needs, such as the seller's property disclosure, the lead-based paint disclosure for older homes, HOA documents, inspection reports, the appraisal and the title commitment, and route each one to whoever needs it
- Schedule inspections, appraisal access, agreed repairs, the final walkthrough and the closing appointment, including a mobile notary when a buyer or seller signs remotely, and send confirmations to everyone involved
- Follow the loan to clear to close with the lender, confirm the closing disclosure went out in time for the scheduled closing, and get the settlement statement and the commission instruction to the agent or broker for review and signature
- Send buyers and sellers the status updates the agent approves, take every question about terms, price or advice straight to the agent, and send the agent a weekly pipeline summary: files under contract, dates coming up, what's stuck and what needs a decision
- Audit each file against the brokerage's compliance checklist before it goes to broker review, fix what the reviewer flags, and close it out after closing with every final document uploaded
- Between closings, prep listing paperwork and MLS input data (property details and draft listing remarks, entered or approved by the agent or authorized staff under the MLS's rules), keep Follow Up Boss or the client's CRM current with contacts, notes and follow-up tasks, and schedule showings and appointments on the agent's calendar
- Every new file opened, checklisted and fully calendared on the timeline the agent sets
- No contingency, financing or closing date reaching its deadline without the agent having been warned in time to act
- Files that clear the broker's compliance review without being sent back, judged by the client's own review
- An agent who knows where every file stands from your summary and notes, without having to ask
What you bring
- 2 or more years coordinating US residential real estate transactions from contract to close for US agents, teams or brokerages, as a transaction coordinator or an agent's assistant who carried files to closing
- Cold calling, lead generation or general virtual assistant work alone doesn't count for this role, and neither does sales admin for Philippine developers or brokerages
- Hands-on with at least one transaction platform, ideally Dotloop, SkySlope, Paperless Pipeline or Open to Close (Lone Wolf Transactions also counts), and with DocuSign, SkySlope Forms, Authentisign or another e-signature tool
- Able to read a US residential purchase contract, its counteroffers and addenda closely enough to pull every date, party and contingency into a checklist, and to count each deadline in calendar or business days the way the contract says
- Working knowledge of how a US home sale moves: earnest money, inspection and repair requests, appraisal, loan approval and clear to close, the title commitment, HOA documents, seller disclosures, the closing disclosure and settlement statement, and how escrow, title and attorney closings differ
- Clear on where the line is: anything that needs a US real estate license, from advice to negotiation, goes back to the agent, and you're comfortable telling a buyer or seller that politely
- Careful with buyer and seller information: you handle it by the brokerage's rules and the Data Privacy Act and keep it off personal devices, you never send, forward or change wiring instructions, and you'll sign a confidentiality agreement and pass a background check, including a current NBI clearance
- Clear spoken and written English for calls and email with US agents, lenders and title or escrow officers, and for status updates buyers and sellers can follow
- Able to work US business hours, a night shift that starts between 8pm and 1am Philippine time depending on the client's US time zone and the time of year, and to hold that schedule long term
- Education: any bachelor's degree preferred, not required; relevant experience matters more
- Follow Up Boss, kvCORE, Lofty or another real estate CRM, including action plans and follow-up tasks
- Listing coordination experience, including prepping MLS input data and listing paperwork for an agent to approve
- Brokermint or another brokerage back office system, including commission disbursement paperwork
- Files in more than one US state, or in both escrow and attorney closing states
Work setup
- Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus a webcam and a noise canceling headset
- Fiber internet of at least 25 Mbps with a mobile data or second provider backup
- A UPS or generator so a brownout doesn't end your shift
- A quiet, private workspace where buyer and seller documents can't be seen or overheard
- Tell us your city and province when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once
You'll do well here if
