Should a dental office hire a dedicated insurance verifier or pay per verification?
One verifier, one flat rate, no meter running per patient.
For offices and groups that verify enough patients each month for per-verification fees to add up past one flat rate, a dedicated verifier costs less; below that volume, paying per verification costs less. A dedicated, full-time dental insurance verifier from Neon Link costs $2,995 a month, month to month, or $2,895 a month on the 6-month plan, with no setup fee and no charge per verification. Working remotely from the Philippines on your US hours, they verify every patient on your schedule ahead of the visit by payer portal, fax-back and phone, and build the full breakdown in your practice software, from maximums and deductibles to frequencies, procedure history and missing tooth clauses, so your front desk can quote the patient's portion.

What your Linker handles
- Verify eligibility for every patient on the schedule on the lead time your office sets, by payer portal, fax-back or phone, and log the reference number, rep name, date and source of each check
- Build the full breakdown in your practice software: plan type and network status, the fee schedule attached to the plan, deductibles and maximums with what has been used, and coverage by category
- Pull procedure history and frequencies by CDT code, such as exams, cleanings, bitewings, full mouth x-rays, perio maintenance and crown replacement, and update the treatment plan estimate
- Catch waiting periods, age limits, missing tooth clauses, downgrades and alternate benefits before the patient is in the chair
- Sort out which plan pays first when a patient has two, including the birthday rule for dependents
- Verify same-day additions and walk-ins during the shift, before they are seated
- Flag an inactive plan, a used-up maximum or treatment that needs a predetermination, and reach the patient or your office in time to talk it through
- Send predeterminations for larger treatment such as crowns, implants and periodontal surgery with the x-rays, perio charts and narrative the payer asks for, and track each one to a decision
- Collect updated insurance cards, keep plan details current when an employer changes carriers, and send your office an end of shift note on what was verified and who was flagged
We screen for the practice software you run, such as Dentrix, Eaglesoft, Open Dental, Curve or Denticon, plus your payer portals and a dental clearinghouse such as DentalXChange or Vyne Trellis. If a finalist has not used yours, you'll know before they start.
How the work is measured
What your Linker is measured on. The targets are set with you in the first week, from your volumes and your hours, and written into your statement of work.
- Every patient on the schedule verified by the lead time your office sets, and same-day additions verified before they are seated
- Breakdowns accurate enough that the estimate holds up when the EOB comes back, checked against your own quality review
- Every check logged with a reference number, a rep name, a date and the source
- Patients flagged before the visit for anything that would surprise them at checkout

How we vet your Linker
Our recruiting team in the Philippines runs a strict screening and review of every applicant, using a process built by our founder, Dan Betthauser, from twenty years running outsourced operations across the Philippines, Costa Rica and the United States. Every Linker goes through:
- A screen of the application against your role: the work, the software and the experience you need
- A recorded spoken English sample, reviewed by our team
- A practical skills test for your work, scored in our own system
- A live video interview with our recruiting team
- An ID check and a background check: NBI clearance in the Philippines, police clearance in India and Pakistan
- A workspace check before day one: a quiet, private room, wired internet, a backup connection and a plan for power outages
- A signed confidentiality agreement before they see any of your data
- Your own interview with the finalist: nobody starts until you say yes
How it starts
- Step 1Tell us the work: a 15 or 30 minute call with our team, or the sixty second scope on the homepage.
- Step 2Get a written quote at the published rate, held for 30 days.
- Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
- Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
- Step 5If the fit is wrong in the first 60 days, we swap them at no cost.
A good fit, and not a fit
- Offices whose front desk verifies insurance between check-ins and misses breakdowns when the schedule is full
- Practices and groups that verify enough patients each month for per-verification, rush and setup fees to add up past one flat monthly rate
- Multi-location groups that want one person who learns their payers, fee schedules and breakdown template
- Offices that verify only a few patients a day. Paying a verification service per check, or keeping it at the front desk, costs less than a full-time person
- Clinical decisions or treatment planning. Your Linker records what the plan covers; what to treat stays with your dentist
- Front desk work in the office, such as check-in or collecting copays at the counter
- Practices whose state Medicaid program or payer contracts do not allow patient data to be handled offshore. Check yours before you start

Questions owners ask
How much does it cost to outsource dental insurance verification?
$2,995 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,895 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US medical office assistant costs about $5,320 a month fully loaded, using the BLS median wage plus employer costs.
When does a dedicated verifier cost less than paying per verification?
Divide $2,995 by the per-verification fee you are quoted, with any rush and setup charges added in. If your office verifies more patients than that in a month, one dedicated person costs less per check, and the breakdown, procedure history, predeterminations and follow-up calls come with the same flat rate. If it verifies fewer, paying per verification is the better deal, and we will tell you so.
How long does a dental insurance verification take?
It depends on the payer and on how deep the breakdown goes. In the 2024 CAQH Index, dental providers reported spending 12 minutes on average to verify eligibility by phone, fax or email and 7 minutes through a payer portal or automated phone line, which CAQH valued at $6.52 of staff labor for each manual check. A full breakdown with frequencies and procedure history takes longer than a basic eligibility check, and that time comes out of your front desk's day unless someone else does it.
Can one verifier work for several of our offices?
Yes. Groups and DSOs often run a different fee schedule at each office, and we screen for people who have verified for many offices at once. How many offices and patients one person carries is set with you from your schedules, and when the volume outgrows one person you add a second Linker at the same published rate.
How is patient information handled?
HIPAA requires a business associate agreement before an outside party handles patient information, so one is signed before your Linker sees any. Your Linker signs a confidentiality agreement, passes a background check, and works from a private space where patient information cannot be seen or overheard. We screen for people who understand the HIPAA minimum necessary rule and keep patient records off personal devices, and they work inside your systems with the access you give them. Some state Medicaid programs and payer contracts limit offshore access to patient data, so check yours before you start.
How is this different from hiring a virtual assistant?
You get one dedicated person who handles your work on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.
How fast can someone start?
We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.
What if the person is not the right fit?
If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.
Do we have to sign a long contract?
No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
