How much does an outsourced dental AR and payment posting specialist cost?

The exception queue, worked every day by one person.

A dedicated, full-time dental AR and payment posting specialist from Neon Link costs $2,995 a month, month to month, or $2,895 a month on the 6-month plan, one flat rate with no setup fee and no percentage of collections. Working remotely from the Philippines or India on your US hours, they post the EOBs and ERAs your billing platform could not match, apply adjustments against your PPO fee schedules, work denials and rejections, bill secondary claims and follow up on insurance aging by payer portal and phone. It is built for dental billing companies, DSOs and multi-location groups with an exception queue big enough to keep one person busy every day.

What your Linker handles

  • Post the EOBs and ERAs your billing platform could not match on its own, including bulk checks, EFTs and virtual card payments, to the right patient and claim, and reconcile each remit to its deposit
  • Apply contractual adjustments, write-offs and downgrades against each practice's PPO fee schedules and adjustment codes, and flag anything outside your rules for approval before it is posted
  • Work clearinghouse rejections and payer denials from the CARC and RARC codes: fix the CDT code, tooth and surface, narrative, attachment or coordination of benefits, and resubmit
  • Prepare corrected claims and appeals from the provider's documentation, and track each one to a decision
  • Work the insurance aging report by its 30, 60 and 90 plus day buckets, oldest and largest balances first, and catch every claim before its timely filing limit
  • Bill secondary insurance with the primary's EOB attached, and sort out coordination of benefits when two plans each say the other pays first
  • Spot underpayments against the fee schedule and repeat denials from the same payer, and flag overpayments and credit balances for refund review
  • Log every payer call and portal check with a reference number, rep name, date and next step, so anyone on your team can pick up the claim
  • Send your queue lead a short end of shift note on what closed, what is waiting on a payer and what is waiting on the practice
Your software

We screen for the dental practice management systems your practices run, such as Open Dental, Dentrix or Eaglesoft, with Dentrix Ascend, Curve, Denticon, Oryx or CareStack also counting, plus a dental clearinghouse such as DentalXChange, Vyne Trellis or Tesia and attachments through NEA FastAttach. If a finalist has not used yours, you'll know before they start.

How the work is measured

What your Linker is measured on. The targets are set with you in the first week, from your volumes and your hours, and written into your statement of work.

  • Exceptions closed right the first time, checked against your own quality review
  • Nothing in the queue aging past your targets without a documented reason and a next step
  • Denials judged by claims paid, not claims touched
  • Every payer call and portal check written up so anyone on your team can pick up the claim

How we vet your Linker

Our recruiting team in the Philippines runs a strict screening and review of every applicant, using a process built by our founder, Dan Betthauser, from twenty years running outsourced operations across the Philippines, Costa Rica and the United States. Every Linker goes through:

  • A screen of the application against your role: the work, the software and the experience you need
  • A recorded spoken English sample, reviewed by our team
  • A practical skills test for your work, scored in our own system
  • A live video interview with our recruiting team
  • An ID check and a background check: NBI clearance in the Philippines, police clearance in India and Pakistan
  • A workspace check before day one: a quiet, private room, wired internet, a backup connection and a plan for power outages
  • A signed confidentiality agreement before they see any of your data
  • Your own interview with the finalist: nobody starts until you say yes

How it starts

  1. Step 1Tell us the work: a 15 or 30 minute call with our team, or the sixty second scope on the homepage.
  2. Step 2Get a written quote at the published rate, held for 30 days.
  3. Step 3We recruit and screen for your work and your software, and you interview the finalist before they start.
  4. Step 4Your Linker works your queue on your hours. A Neon Link manager runs the account and answers when you need them.
  5. Step 5If the fit is wrong in the first 60 days, we swap them at no cost.

A good fit, and not a fit

  • Dental billing companies whose platforms post routine payments on their own and send everything else to an exception queue that keeps growing
  • DSOs and multi-location groups with a central billing office and an insurance aging report nobody has time to call down
  • Billing teams that want one person who learns their payers, fee schedules and adjustment rules
Not a fit
  • A single office with a light claim load. A part-time biller, or a billing service paid on collections, may cost less than a full-time person
  • Approving write-offs or adjustments outside your rules. Your Linker flags those for a decision before anything posts
  • Insurance verification before the visit as the main job. That work has its own page and its own specialist
  • Practices whose state Medicaid program or payer contracts do not allow patient data to be handled offshore. Check yours before you start

Questions owners ask

How much does it cost to outsource dental AR and payment posting?

$2,995 a month for one dedicated, full-time person (40 hours a week), month to month, or $2,895 a month on the 6-month plan. There is no setup fee, and pay, equipment and management are inside that one number. For comparison, a US medical office assistant costs about $5,320 a month fully loaded, using the BLS median wage plus employer costs.

Is a flat monthly rate better than paying a dental billing service a percentage of collections?

It depends on your volume. A percentage costs little when collections are small and grows with every dollar collected, while one flat rate stays the same however much the practices collect. For a billing company or group whose exception queue fills a full-time week, the flat rate is the more predictable of the two, and the larger your collections, the more a percentage costs by comparison. For one small office, a percentage or a part-time biller can cost less.

How much time do insurance follow-up calls take?

For dental offices, it is the longest task CAQH measures. In the 2024 CAQH Index, dental providers named checking a claim's status by phone as their most time-consuming administrative task, at 18 minutes per inquiry on average. That is the work your Linker does through the shift, so your in-house team stops spending its day on hold.

Will they work inside our billing platform and our practices' software?

Yes. They work the exception queue in your platform and the practice management systems behind it, with the access you grant, and follow your adjustment rules. Before their first live claim they learn your platform, adjustment rules and escalation path from your team or your written procedures, and anything that needs a practice decision goes to your queue lead with the facts already gathered.

How is patient information handled?

HIPAA requires a business associate agreement before an outside party handles patient information, so one is signed before your Linker sees any. Your Linker signs a confidentiality agreement, passes a background check, and works from a private space where patient information cannot be seen or overheard. We screen for people who understand the HIPAA minimum necessary rule and keep patient records off personal devices, and they work inside your systems with the access you give them. Some state Medicaid programs and payer contracts limit offshore access to patient data, so check yours before you start.

How is this different from hiring a virtual assistant?

You get one dedicated person who handles your work on your hours, inside your software, and a Neon Link manager runs the account: pay, equipment, replacement if it comes to that, and a phone that gets answered. You never run offshore payroll or manage a freelancer alone. It is not a shared pool, a ticket queue or a 24/7 answering line.

How fast can someone start?

We start recruiting when you say go. You interview the finalist before anyone starts, and the start date is set with you once you pick the person. We would rather take the time to find the right fit than hand you whoever is free.

What if the person is not the right fit?

If the fit is wrong in the first 60 days, we swap them at no cost. After that, if they leave, we recruit the replacement at no charge and manage the handover. Training on your process runs at the normal monthly rate.

Do we have to sign a long contract?

No. Month to month is available on every plan. The 6-month plan trades a longer commitment for a lower monthly rate. A written quote at the published rate is held for 30 days.
