The role
Neon Link places experienced bookkeepers and accounting specialists full time with US accounting and CPA firms, and with US small businesses that need their numbers right the first time. The work is full cycle US accounting: categorizing and reconciling daily activity, running accounts payable and receivable, supporting payroll, and closing the month with schedules a CPA can pick up without rework. Most of it lives in QuickBooks Online or Xero, with tools like Bill.com, Gusto, Ramp, Stripe, Dext or Hubdoc feeding it.
When the client is a CPA or bookkeeping firm you may carry several of its small business files at once, each on its own close checklist; at a small business you own its books end to end. Your contact with the client is mostly written, by email, Slack or comments in the file, with the occasional screen share, so this is a non-voice process.
It matters because the owner makes real decisions off these numbers, and a sloppy reconciliation shows up months later as a tax problem. You'll have access to bank accounts, payroll records and tax documents, so every placement works under the client's confidentiality rules and approval limits. People do well here when they'd rather ask a question than guess, and can explain a variance in plain English to someone who doesn't read a balance sheet for a living.
Day to day you'll take direction from the client's controller, accounting manager or owner, as part of their team, with Neon Link behind you. Before you touch a live set of books you're trained on the client's chart of accounts, close checklist, approval rules and tools.
What you'll do
- Record and categorize daily transactions from bank feeds, receipts and bills captured in Dext or Hubdoc, set up and maintain bank rules, and keep the chart of accounts and general ledger consistent month to month in QuickBooks Online or Xero
- Reconcile bank, credit card, loan, payroll and merchant accounts, including Stripe and Shopify payouts, to their statements, clear uncategorized and suspense items, and run down anything that doesn't tie
- Run accounts payable: code vendor bills, route approvals in Bill.com, Ramp or the client's tool, and line up payment runs against cash on hand for the client to release
- Run accounts receivable: invoice on time, apply customer payments and merchant deposits to the right invoices, and follow up on aging in writing before it turns into a collection problem
- Support payroll in Gusto, ADP or similar: check the payroll register, book wages, payroll taxes, benefits and deductions to the right accounts, and reconcile the payroll liability accounts
- Prepare month end close from the client's checklist: accruals, prepaids, depreciation, adjusting journal entries, balance sheet reconciliations and supporting schedules, then hand the CPA a package that doesn't come back
- Produce the monthly reporting the client actually uses: profit and loss, balance sheet, cash position and budget to actual, with a short written note on what moved and why
- Support US sales tax filings and year end 1099-NEC and 1099-MISC preparation, keep W-9s and vendor records current, and pull together the year end workpapers the client's tax preparer asks for
- Clean up and catch up neglected files: reclassify a mis-categorized history, fix opening balances, and bring months of unreconciled accounts current with every correcting entry documented
- Flag what looks wrong before anyone else finds it, whether that's a duplicate payment, an unfamiliar vendor, a vendor asking to change bank details or missing documentation, and ask the client in writing for what you need
- Books closed and reporting delivered on the close calendar the client sets, every month
- Every account reconciled to its statement each month, with open items explained instead of carried forward
- Close packages and adjusting entries the client's CPA or controller accepts without rework
- AP and AR aging reviewed on the client's schedule, with every old item carrying a reason and a next step
What you bring
- 3 or more years of full cycle bookkeeping or accounting on US books, for US businesses directly, through a US CPA or bookkeeping firm or inside a US accounting KPO, including bank reconciliations and month end close
- Indian GST, TDS or Tally bookkeeping alone doesn't count for this role, and neither does audit articleship or AP or AR processing without reconciliations and month end close
- Strong in QuickBooks Online or Xero, ideally both: you can set up a chart of accounts and bank rules, correct a mis-categorized history and clean up a file someone else neglected
- Working knowledge of US GAAP basics: accrual versus cash basis, revenue recognition, prepaids and accruals, fixed assets and depreciation, and how a balance sheet reconciliation proves a number
- Familiar with US sales tax including nexus, year end 1099 reporting and W-9 collection, and how US payroll taxes post to the books
- Intermediate to advanced Excel or Google Sheets: pivot tables, lookups, conditional formatting, and workbooks another person can follow
- Trustworthy with banking, payroll and systems access: you use only the logins the client gives you, you never release a payment the client hasn't approved, you don't move bank statements, payroll reports or tax forms onto personal devices or accounts, and you'll sign a confidentiality agreement, pass a background check and show a photo ID and proof of your US bookkeeping experience, such as experience letters, relieving letters or payslips
- Clear written English for client emails, Slack messages and month end notes, and clear spoken English for team calls and screen shares where you explain a number to a business owner without jargon
- Able to work US business hours, a night shift that starts between 5:30pm and 10:30pm India time depending on the client's US time zone and the time of year, with longer days possible during close week, agreed in advance and paid
- Education: a commerce graduate (B.Com, M.Com, BBA or similar) preferred, not required; hands-on US bookkeeping experience matters more
- Hands-on time in Bill.com, Gusto, Ramp, Expensify, Dext or Hubdoc
- NetSuite, Sage Intacct or QuickBooks Desktop, including a move from QuickBooks Desktop to QuickBooks Online
- QuickBooks Online ProAdvisor or Xero Advisor certification, or a US CPA, US CMA, EA or Indian CA qualification; CA Inter or CMA Inter cleared counts too
- Ecommerce books with Shopify, Amazon and A2X, or construction job costing
- Time inside a US accounting or CPA firm serving several clients at once, working from close checklists in a practice tool such as Karbon
Work setup
- Your own Windows 10 or 11 computer with a Core i5 or Ryzen 5 and 8 GB of RAM or more that runs the client's tools, plus a webcam and a noise canceling headset
- Broadband of at least 25 Mbps with a mobile hotspot as backup
- UPS or inverter power backup so a power cut doesn't end your shift
- A quiet, private workspace where bank statements, payroll and client financials can't be seen by anyone else
- Tell us your city and state when you apply; we hire across regions, so one storm or outage doesn't hit everyone at once
You'll do well here if
